01. Policy Statement, Purpose & Scope
This policy applies to all staff, independent tutors, students, parents, and guardians engaging with UK Bright Minds through ukbrightminds.org.
The purpose of this policy is to:
- Ensure the welfare and safety of every child and young person under our tuition.
- Establish clear, enforceable standards of conduct for online tutoring sessions.
- Provide clear reporting pathways for students, parents, and tutors whenever a concern arises.
- Adhere to key UK statutory frameworks, including Keeping Children Safe in Education (KCSIE), Working Together to Safeguard Children, and the Children Act 1989/2004.
02. Tutor Vetting & Safer Recruitment Standards
Every tutor who teaches on UK Bright Minds must undergo our rigorous four-stage Safer Recruitment verification before conducting their first session:
- Enhanced DBS Checks: All tutors must hold a current Enhanced Disclosure and Barring Service (DBS) certificate, including a check of the Children's Barred List. Tutors must either renew this regularly or be enrolled in the official DBS Update Service for real-time verification.
- Identity & Right to Work Verification: Robust photographic government ID checks (passports, driving licences) and proof of address.
- Academic Credential Verification: Original university degree certificates, A-Level transcripts, and teaching qualifications are verified directly against awarding bodies.
- Professional Reference Checks: Minimum of two verified professional and academic character references.
- Mandatory Safeguarding Training: All tutors complete annual training on child protection, recognizing indicators of abuse, online safety, and UK reporting protocols.
03. Online Classroom Safety Protocols
To maintain complete transparency and protection during virtual video lessons:

04. Code of Conduct for Tutors
All UK Bright Minds tutors strictly adhere to the following professional code of conduct:
- Tutors must always communicate with warmth, encouragement, patience, and professional boundaries.
- Tutors must never ask for, share, or accept personal phone numbers, gaming handles (Discord, Steam, PlayStation), WhatsApp, Instagram, TikTok, or personal social media handles with students.
- Tutors must not give gifts or arrange in-person meetings with students under any circumstances.
- Tutors must not engage in any private or personal conversations outside of academic coursework, exam topics, and study skills.
05. Parental Responsibilities
Parents and legal guardians play a vital partnership role in maintaining student safety:
- Ensure your child connects to their lesson from a shared family space rather than behind closed doors in a bedroom.
- Feel free to sit in on the first 10 minutes of the introductory session or check in periodically during lessons.
- Monitor that your child's web camera and microphone are used solely for the lesson.
- Immediately report any behavior that makes your child or you feel uncomfortable.
06. Lesson Audits, Recordings & Data Security
Lessons conducted through UK Bright Minds may be recorded for safeguarding and quality assurance:
- Safeguarding Audit Trail: Recordings exist to deter improper conduct, provide objective evidence if a concern is raised, and assist in pedagogical reviews.
- Encrypted & Restricted: Recordings are stored on secure UK/EU servers with strict role-based access controls. They are accessible only to our Designated Safeguarding Lead (DSL) in the event of an investigation or upon verified parent request.
- Automatic Deletion: Standard recordings are automatically deleted after 90 days unless preserved in connection with an active review or legal requirement.
07. Reporting Procedures & Escalation Pathways
If a student, parent, or tutor has any concern regarding safety, welfare, or inappropriate conduct:
- Step 1 — Immediate Report: Email our Designated Safeguarding Lead immediately at hello@ukbrightminds.org (or backup: ukbrightminds@gmail.com) with the subject line "URGENT: Safeguarding Report".
- Step 2 — Immediate Action: The tutor involved is immediately suspended from conducting sessions pending a comprehensive investigation.
- Step 3 — Statutory Notification: If a child is at risk of significant harm, our DSL will report the matter within 24 hours to the relevant Local Authority Designated Officer (LADO) or local Children's Social Care services, and notify the police where appropriate.
